The 10:1 rule answers almost every size question

Here's the only piece of math you need.

Scanning distance ÷ 10 = minimum code width.

A guest sitting at a table holds their phone about 15 to 20 inches from the table tent. Divide by ten, and you need a code at least 1.5 to 2 inches wide. Someone standing on the sidewalk looking at your window is 6 to 8 feet away — that's 72 to 96 inches, so the code needs to be 7 to 10 inches wide.

It works in reverse too, which is handy when the print size is already fixed. A 1-inch code on a business card scans from about 10 inches. That's fine for a card in your hand. It's useless pinned to a noticeboard.

Two honest caveats:

  • Phones are better than the rule. Camera sensors in 2026 will often grab a code at fifteen or twenty times its width in good light. Don't design for that. Design for the worst phone in the room, in evening lighting, held at an angle.

A QR code is a grid of tiny squares called modules. Every module has to survive two things: the ink spreading slightly on paper, and your guest's camera resolving it. Once a module drops below about 0.4 mm wide, ink bleed starts merging neighbours and the pattern turns to mush.

That's why the floor moves depending on how much data you stuff in. A short link builds a code with 21 or 25 modules across, so at 0.8 inches each module is comfortably big. A long link with tracking tags might build a 45-module grid — same physical size, half the module width, and now you're below the safe line.

Practical version: 0.8 inches is the floor for a short, simple code. For anything longer, or anything printed on rough paper, start at 1 inch and stop worrying.

Export size: pixels, DPI, and the 300 rule

Print size and file size are two different questions, and mixing them up is where good designs die.

DPI means dots per inch. Print shops want 300 DPI for anything a person holds. So the math is:

Print size in inches × 300 = pixels you need.

A 2-inch table tent code needs 600 pixels. A 6-inch poster code needs 1,800. Give the printer less than that and the code arrives soft and blurry at the edges — which, on a pattern made of tiny squares, is fatal.

Two rules that save arguments with printers:

  • Vector beats pixels for anything big. An SVG or PDF version of a QR code is pure shapes, so it scales to a bus or a building with perfectly sharp edges. If your generator offers vector, use it for large format.
  • Large format is printed at lower DPI on purpose. Billboards are often output at 10 to 20 DPI at full scale, because nobody stands two feet from a billboard. Your printer will tell you their working resolution — ask before exporting, don't guess.

In plain English: that white border is roughly 8 to 10 percent of the code's width on each side. On a 2-inch code, leave about a fifth of an inch of clean space all the way round.

It isn't decoration. The scanner uses that blank ring to find where the code starts and stops. Crop it, print the code right up against a photo, or drop it on a busy background image, and scans get slow or fail completely.

Three ways people break it without noticing:

  1. Cropping tight in a design tool to make the code "fit nicer" in a layout.
  2. Placing it on a patterned background — wood grain, marble, a food photo. Put a solid white or very light rectangle behind it.
  3. Letting text creep in. "SCAN ME" belongs outside the quiet zone, not tucked into the corner of the code.

Your link length changes the size you need

This is the part that surprises people. Two codes at the same physical size can behave completely differently, and it's usually the link's fault.

More data means more modules. More modules at the same print size means smaller modules. Smaller modules mean a harder scan.

Fixes, in order of how much they help:

  • Keep the link short. A clean domain and a short path is worth more than any print trick.
  • Use a dynamic QR code if you need tracking. The code holds a short redirect link, and the tracking happens on the server. Bonus: you can change where it points without reprinting anything.

Error correction and the logo in the middle

QR codes come with four levels of built-in repair:

Table tents are where most restaurant QR codes live, so they deserve their own answer.

Print the code at 1.5 to 2 inches (4 to 5 cm). Under 1.2 inches and guests start leaning in. Over 2.5 inches and you're wasting a card that also needs to carry your name, a line of instruction, and maybe a Wi-Fi code next to it.

A few things I'd argue for from experience:

  • Put words under it. "Scan for our menu" beats a naked square by a mile. People need to know what happens before they point a camera at something.
  • Print the web address in small text too. A handful of guests will always prefer to type, and one line of 8-point text costs you nothing.
  • Angle matters. A tent card leaning back at 30 degrees reads more easily than one standing dead vertical, because that's the angle a seated phone is already at.
  • Two codes, two labels. Menu on one side, Wi-Fi on the other. Don't stack them unlabelled — guests scan the wrong one and get confused.
  • Design for swapping. Slide-in card holders beat printed cardboard. When something changes, you reprint a card, not the whole set.

Let's be blunt. Most billboard QR codes are money on fire.

Run the numbers. A highway billboard sits 200 feet from the driver. The 10:1 rule says the code needs to be 20 feet wide — often bigger than the entire creative. And even then, the driver is doing 60 mph, has both hands on the wheel, and gets maybe five seconds of viewing time.

Where big-format QR codes genuinely work is where people stand still:

  • Mall corridors, airport walls, cinema lobbies, event stands.
  • Shopping-centre pillars and building entrances at pedestrian distance.
  • Restaurant windows, which is the version that matters for hospitality. Someone deciding whether to come in wants to see the menu right now. An 8 to 10-inch code in the glass, at eye height, does more work than any billboard.

If you truly are going to billboard scale, ask the printer for their working resolution, supply vector art, and make the code as large as the layout allows. Then check whether anyone can actually stop safely to scan it. Usually the answer is no.

Print details that ruin a perfectly sized code

You can get the size exactly right and still watch it fail. These are the usual culprits.

  • Gloss lamination. It throws light straight back at the camera. In evening restaurant lighting, glare is the number one killer of a good code. Choose matte every time.
  • Inverted colours. Light code on a dark background fails on a lot of phones. Always dark pattern on a light background.
  • Weak contrast. Dark grey on black, or yellow on white, might look elegant on a brand board. Scanners need a strong difference between the two. If it's hard for you to see in dim light, it's hard for a camera.
  • Rough or uncoated stock. Kraft paper, recycled card, napkins and coasters all soak up ink and blur module edges. Go up 20 percent in size on absorbent material.
  • Fabric and mesh banners. The weave eats fine detail. Print bigger than the chart suggests.
  • Curves. Coffee cups, bottles and takeaway containers bend the pattern. Keep the code on the flattest area available and size up.
  • Stretching. A QR code must stay a perfect square. Squash it 10 percent to fit a layout and you've broken it.

Test it before you print 500

Five minutes now, or a very annoying week later.

  1. Print one at full size on the real material. Not your office paper. The actual card, the actual finish.
  2. Scan from where the guest will really be — sitting in the chair, standing on the sidewalk.
  3. Use your real lighting. Test at dinner service, not at 11am with the blinds open.
  4. Use the worst phone you can find. A three-year-old budget Android tells you more than your new iPhone.
  5. Scan at an angle, roughly 30 to 45 degrees. Nobody holds a phone perfectly square.
  6. Then print the run.

If the code fails this test at your chosen size, go one size up before you start blaming the generator. And if it worked yesterday but not today, that's a different problem — usually a QR code menu that stopped working because of the link behind it, not the print.
